ATS (Applicant Tracking System) by Squareboat is a recruitment management platform that simplifies the hiring process for HR teams, interviewers, and candidates. Built to solve the real pain points faced by recruiters and interviewers, the platform has powerful dashboards, real-time reminders, and a clean, clutter-free UI that ensures even the busiest hiring teams never miss a step.
As part of our HR tech solutions, the system was designed to centralize all candidate and job data, automate key actions, and simplify collaboration among HRs, interviewers, and candidates. The platform eliminated delays caused by scattered processes and manual tracking. Its impact was seen not just in faster hires but in improved consistency, accountability, and team productivity across the board.
What we built?
To modernize and streamline the recruitment process, we built a comprehensive web-based Applicant Tracking System (ATS). Solving the problems of inefficiencies of traditional spreadsheet-based tracking and creating a centralized system for all hiring activities. The application brings together the various pieces of the hiring journey, candidate progress, team communication, and approval cycles into a single intuitive interface. It provides a unified workspace where all roles involved in hiring can access the information they need without switching between tools or chasing updates. This improves both the internal hiring workflow and the overall experience for interviewers.
Jobs Management: Managing multiple job openings becomes effortless with the platform’s built-in job portal control panel. When creating a new job, admins can define key attributes such as the department it belongs to, the location it’s based in, and a detailed JD that outlines role expectations and qualifications. The active/inactive toggle feature simplifies job visibility management, which is auto-synced with the Squareboat Careers page. Plus, it is integrated with our WhatsApp chatbot, which acts as a 24/7 recruitment assistant, helping candidates to apply instantly, making it easier than ever to run high-impact hiring campaigns.
Intelligent CV score: Our ATS features an AI-powered CV Scoring system that intelligently analyzes each resume against the job description to give a real-time relevance score. This score is displayed right next to every applicant’s profile, helping recruiters instantly identify the strongest matches without digging through every detail.
Candidate Management: ATS simplifies candidate management by automatically capturing profiles when the candidate fills out the hiring form. As candidates move through stages, interviews are scheduled and managed directly within the system, followed by email-based task distribution for submissions or tests. Recruiters can add internal feedback for better collaboration. Using advanced filters like CTC or graduation year, recruiters can narrow down the candidate pool quickly. For profiles not moving forward right away, the cool-off option allows teams to revisit them later without marking them rejected.
Task Assignment and Tracking: The platform allows recruiters to set up tasks like tests or information requests with just a few clicks. Whether it’s sending out personality quizzes, assigning a technical assessment, or a programming task, tasks can be created with predefined templates or customized instructions.
Hiring Tracker: The Hiring Tracker keeps all candidate activity in a structured, searchable view. It shows exactly which stage each candidate is in, along with relevant timestamps, interview dates, and decision statuses. Filters make it easy to navigate to specific rounds or statuses, including rejected or held candidates, while the export option enables offline processing or further analysis.
Interviewer Coordination and Schedules: ATS helps you stay organized by making it easy to manage interviewers and schedule interviews without back-and-forth or confusion. Admins can maintain a live list of interviewers and assign them to interview rounds with just a few clicks. All officials receive timely invites and reminders as the interviews are auto-synced with Google Calendar. Once the interview is conducted, the system automatically unlocks the feedback section, allowing interviewers to record their evaluations without delay.
Employee Referrals: Employees can directly add referrals through the platform, eliminating the need for email or external tracking. These referrals appear in the ATS like any other candidate for HRs to shortlist, edit, or remove entries as needed.
Custom Email Templates: The ATS simplifies candidate communication with both single and bulk email templates, be it sending a JD, requesting documents for LOI, or initiating offer discussions, recruiters can act in just a few clicks. It also has an approval layer that ensures all bulk emails are reviewed before dispatch to maintain message quality and consistency. The system also stores detailed records of past applicants, which allows recruiters to automatically send emails to relevant former candidates as and when needed.
Analytics and Insights: The ATS includes a dedicated analytics dashboard that gives admins a clear overview of hiring activity. It represents data performance through intuitive pie charts, bar graphs, and filterable reports. With this centralized view, admins can proactively monitor individual recruiter performance, benchmark against past months, etc.
Kanban View: Track your recruitment pipeline at a glance with our intuitive Kanban View. Candidates are visually organized, making it easy to manage progress. Drag-and-drop functionality allows recruiters to move applicants across stages effortlessly. You can instantly spot delays and collaborate across the team.
